Kordio LLC (“Kordio,” “we,” “us,” or “our”) respects your privacy and is committed to protecting the personal and operational data processed through our field service management, computer maintenance management system (CMMS), and enterprise resource planning (ERP) applications (the “Service,” including mobile and web applications).
This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our services. Please read this Privacy Policy carefully.
1. Important Notice Regarding Business Data & Account Roles
Kordio is a B2B (business-to-business) software provider. The subscribing entity (your employer or contracting company, the "Subscriber") owns and controls all work orders, asset histories, field reports, and operational records entered into the Service.
Kordio operates as a Data Processor with respect to Subscriber operational data, while acting as a Data Controller for basic account creation details necessary to maintain the Service.
Account Roles:
Admin Accounts: Created by or on behalf of the Subscriber to manage company settings, dispatch teams, configure workflows, and oversee operations.
User Accounts: Assigned to technicians, field workers, or personnel by an Admin to receive job dispatches, complete work orders, and submit field documentation.
2. Information We Collect
We collect information directly provided by users or generated during the use of our mobile and web applications:
A. Personal & Account Identifiers
Account Credentials: Names (real or pseudonymous), work email addresses, and phone numbers provided during user setup.
Employee Identifiers: System-generated unique Employee IDs created by Kordio to associate work logs and dispatches.
B. Location Data (Field Technician Tracking)
Optional GPS Tracking: Kordio offers optional GPS tracking for field technicians.
Clocked-In Scope: Location data is collected only while a technician is actively clocked into a work shift via the mobile application. GPS tracking does not run when a user is clocked out. Technicians may disable location services via their device settings at any time.
C. Device Camera & Media Access
Photos & Visual Documentation: The mobile application requests access to your device camera and photo storage solely to allow technicians to capture and attach job-site photos, equipment conditions, or proof-of-work documentation to work orders. We do not access your device's photo library outside of user-selected attachments.
D. Billing & Payment Information (Web Application Only)
No In-App Payments: The Kordio mobile application does not process financial transactions or collect payment details.
Web Admin Payments: Payment setup and subscription management are conducted exclusively via the web/browser-based version of the Service through our third-party payment processor, Stripe. All payment card details are collected directly by Stripe under their own privacy policy and security standards.
3. How We Use Your Information
We use the collected information strictly for operational and service delivery purposes:
Providing, operating, and maintaining the Kordio ERP/CMMS/FSS platform.
Facilitating work order creation, dispatching, and field task verification.
Enabling real-time technician location awareness for job allocation while clocked in.
Managing subscriber accounts, authenticating users, and providing customer support.
4. Third-Party Services & Data Sharing
Kordio does not sell, rent, or trade your personal information. We do not use advertising tracking software or share data with third-party advertisers.
Infrastructure & Development
Platform Hosting: Kordio is built and hosted utilizing modern cloud deployment platforms (such as Base44 and repository management via GitHub) to deliver reliable uptime and maintain system code integrity.
Payment Processing: Financial transactions on the web application are handled via Stripe.
5. Advertising & Tracking Disclosures
No Tracking / Ad SDKs: Kordio does not monitor user activity across non-affiliated third-party websites or apps for targeted advertising.
App Tracking Transparency (ATT): Because Kordio does not track users or share data with data brokers/advertisers, we do not require user tracking permission prompts under Apple's App Tracking Transparency framework.
6. Data Ownership, Retention & Deletion
A. Data Ownership & Export
Subscribing businesses retain full ownership of all business and field data uploaded to Kordio. Subscribers have full data export capabilities at any time through the Service.
B. Account & Data Deletion
Users and Admins have the right to request or initiate the deletion of their accounts and associated data.
In-App Account Deletion: You can request account and personal data deletion directly within the Kordio mobile app by navigating to Settings > Account > Delete Account.
Web Account Deletion: Account deletion can also be requested via the web-based version of the Service or by contacting us directly.
C. Inactive Accounts & Retention Limits
Active Data: Kordio stores data only for as long as necessary to provide services to the Subscriber.
Retention Policy: If an account remains inactive for more than one (1) consecutive year, Kordio reserves the right to permanently purge all associated account and operational data from our active databases.
